Keep shared files accessible to the right people.
Nextcloud is relevant to teams considering an alternative home for shared files and collaboration. Start with the actual job: handing documents between staff, sharing a client folder or maintaining a community’s records.
This profile is researched. It does not claim a tested EKG migration or feature parity with an existing office suite.
Synchronization and backup solve different problems.
A synchronized deletion can reach every connected device. A recovery plan needs copies you can restore, including the application data needed to interpret the files.

Use a small, realistic folder.
Test a nested folder, a shared document, a large file and a user with restricted access. Then remove that user’s access and check both ordinary and shared-link behavior. Finally restore the test data in an isolated environment.
Keep file ownership, retention and account departure procedures in the evaluation. The difficult moment is often a staff change, not the first upload.
Decide who will keep it running.
Self-hosting is useful only when upgrades, storage, access and backups have a maintainer. A managed provider may be a better fit for a team that wants the application without the server work.
Budget administration alongside storage. Compare with the file service the team already uses, including the cost of changing habits and integrations. Move only when a concrete ownership or workflow benefit justifies that work.
